1. Information We Collect

Account Information: Name, email address, institutional affiliation, and role when you create an account or use the demo.

Session Data: Voice interactions and transcripts generated during examination sessions, performance scores, and feedback. Sessions are recorded for the purpose of generating transcripts and scoring.

Usage Data: Session frequency, duration, feature usage, and platform interactions.

Payment Information: Payment processing is handled by Stripe. We do not store credit card numbers. We retain Stripe customer IDs and transaction records.

Technical Data: IP address, browser type, and device information for security and service optimization.

2. How We Use Your Information

We use your information to: (a) provide and improve the Service; (b) generate performance scores and feedback; (c) provide analytics to you and your institution (if applicable); (d) process payments; (e) communicate about your account and the Service; (f) prevent fraud and abuse; and (g) comply with legal obligations.

3. Institutional Accounts

If you use SimDuo through a law school, law firm, or other organization, your administrator may have access to your usage data, session scores, and performance analytics. Your administrator controls these access permissions. Session transcripts (the actual words spoken) are accessible only to you and your institution's administrators.

4. AI Processing

Your voice input is processed in real time by third-party AI services (including LiveAvatar/HeyGen for avatar interaction and Anthropic's Claude for scoring) to provide the examination experience and performance feedback. Session transcripts are sent to AI scoring services to generate rubric-based evaluations. We do not use your session data to train AI models.

5. Data Sharing

We share your data only with: (a) service providers necessary to operate the platform (Supabase for data storage, Stripe for payments, LiveAvatar/HeyGen for avatar services, Anthropic for AI scoring, Vercel for hosting); (b) your institutional administrator, if applicable; and (c) as required by law. We do not sell your personal information to third parties.

6. Data Retention

Account data and session history are retained for as long as your account is active. After account deletion, we retain anonymized, aggregated performance data for service improvement. Session transcripts and recordings are deleted within 90 days of account deletion. Demo lead information is retained for 12 months for follow-up purposes.

7. Data Security

We use industry-standard security measures including encryption in transit (TLS), encryption at rest, and role-based access controls. Session data is stored in secure, access-controlled databases. However, no method of transmission or storage is 100% secure.

8. Your Rights

You may: (a) access your personal data through your account dashboard; (b) download your session transcripts and performance reports; (c) request deletion of your account and associated data; (d) opt out of marketing communications. To exercise these rights, contact us at info@simduo.com.
